Backup and Disaster Recovery: What Every Mississauga Small Business Needs to Know
Ask most small business owners whether they have backups, and they will say yes. Ask them when they last tested those backups, and the answer is usually silence.
A backup that has never been tested is not a backup — it is a hope. And in the event of a ransomware attack, hardware failure, flood, or fire, hope is not a recovery strategy.
This guide covers everything a Mississauga small business owner needs to know about backup and disaster recovery: what to back up, how often, where to store it, what RTO and RPO mean and why they matter, and — most importantly — how to verify your backups actually work before you need them.
What Data Does Your Business Need to Back Up?
The most common mistake businesses make is backing up only what is obvious and missing what matters most.
Business files and documents. Proposals, contracts, financial records, client files, and any other documents your business creates. If these files live on a shared drive or file server, the entire share needs to be in your backup.
Email. Microsoft 365 and Google Workspace both have some built-in redundancy, but they are not the same as backup. Microsoft 365 retains deleted emails for 30 days by default — after that, they are gone. A dedicated backup solution for your cloud email captures and retains email independently of Microsoft’s or Google’s retention policies.
Databases. If your business uses accounting software, CRM, practice management software, or any other database-driven application, the underlying database must be backed up — not just the application files. Database backups require special handling to capture data in a consistent state.
Line-of-business application data. Your accounting records, inventory data, client records, and any other application-specific data that does not live in your file server needs to be explicitly included in your backup scope.
System configurations. Servers, firewalls, and key network devices have configurations that take significant time to rebuild from scratch. Backing up these configurations means faster recovery when hardware fails.
The 3-2-1 Backup Rule
The 3-2-1 rule is the industry standard for small business backup strategy:
- 3 copies of your data — the original plus two backups
- 2 different storage media — for example, local backup plus cloud backup
- 1 copy off-site — stored somewhere physically separate from your office
The off-site copy is what saves you when your office experiences a physical disaster — fire, flood, theft, or a burst pipe that destroys your server room. A backup stored on a drive in the same office as your server protects against hardware failure but not against physical disasters.
Cloud backup satisfies the off-site requirement elegantly. Your data is encrypted and stored in a geographically separate data centre. Even if your entire office is destroyed, your data is safe and recoverable.
RTO and RPO: The Two Numbers Every Business Owner Should Know
These two terms define your recovery strategy and drive every backup design decision:
RPO — Recovery Point Objective is the maximum amount of data loss your business can tolerate. If you run a daily backup at midnight and your server fails at 4pm the following day, you will lose up to 16 hours of work. If that is unacceptable, you need more frequent backups — hourly, or continuous.
RTO — Recovery Time Objective is the maximum downtime your business can tolerate. If you need to be fully operational within 4 hours of a disaster, your recovery solution must be capable of meeting that target. Full server restores from cloud backup often take 4–8 hours for typical SMB environments. If you need faster recovery, instant virtualisation (spinning up a virtual server from the backup image while the physical server is being replaced) may be required.
Most small businesses can tolerate an RPO of 24 hours (daily backup) and an RTO of 4–8 hours (standard cloud restore). Businesses with higher availability requirements — including dental offices, law firms, and financial advisors — typically need RPOs of 4 hours or less and RTOs of 2 hours or less.
Talk to your IT provider about what your business actually needs. Many businesses are over-paying for recovery solutions they do not need; others are under-protected for their actual requirements.
Why Cloud Sync Is Not a Backup
OneDrive, Google Drive, and Dropbox are synchronisation tools, not backup solutions. This distinction matters enormously.
When you delete a file, the deletion syncs to the cloud. When ransomware encrypts your files, the encrypted versions sync to the cloud, overwriting your originals. When a ransomware attack completes, your cloud sync contains encrypted files — not clean backups.
Most sync tools retain deleted files and previous versions for 30 days. After that, the data is gone. This is not sufficient protection for business data.
A dedicated backup solution works differently. It takes independent snapshots of your data at scheduled intervals and retains them according to a retention policy — typically 30 days of daily snapshots, 12 months of monthly snapshots, and sometimes longer for regulatory compliance. You can restore to any of those snapshots, regardless of what happened in OneDrive or Google Drive.
How to Make Your Backups Ransomware-Proof
Standard backup solutions that store data on a drive connected to your network are vulnerable to ransomware — the malware can encrypt your backup files along with your primary data.
Ransomware-proof backup uses immutable storage: cloud storage where backup files cannot be modified or deleted for a defined retention period, regardless of what happens to your systems. Even if ransomware compromises your backup software, the immutable copies in the cloud remain intact.

How to Test Your Backups
Testing backups is the most important thing most businesses never do.
A backup test means actually restoring data from the backup and verifying it is complete and usable — not just confirming that the backup software reported success. Backup software can report success while creating corrupted or incomplete backup files.
What to test:
- Restore a sample of files from your most recent backup
- Verify the restored files open correctly and contain current data
- For servers: test a full system restore in an isolated environment at least once per year
- For databases: restore the database and verify it can be brought online and queried
How often to test:
- File-level restore verification: monthly
- Full server restore test: annually (or after any major infrastructure change)
Document your test results. If you ever need to demonstrate due diligence to an insurer or regulator, records of successful backup tests are valuable evidence.
What a Disaster Recovery Plan Should Include
A disaster recovery plan is a documented set of procedures your team follows when a major IT incident occurs. Without it, everyone is improvising under pressure — which leads to mistakes, delays, and missed steps.
A basic DR plan for a Mississauga SMB should include:
Contact list. Who to call first: IT provider, cyber insurance company, key staff, legal counsel. Include after-hours contact numbers.
System inventory. A list of your critical systems, what they do, and what other systems depend on them. This helps prioritise recovery order.
Recovery procedures. Step-by-step instructions for restoring your most critical systems. These should be detailed enough that a technically competent person can follow them without prior knowledge of your environment.
Communication plan. How will you communicate with staff, clients, and suppliers during an outage? Who is authorised to make public statements?
RTO and RPO targets. Your documented recovery objectives for each critical system.
Post-incident review. After any significant incident, what process do you follow to understand what happened and prevent recurrence?
